FAJ Solutions LLC (“FAJ Solutions”, “we”, “us”) is an IT field services company based in Easton, Pennsylvania. This policy explains what information we collect, how we use it, and the choices you have. It covers both this website and the FAJ Business Manager, our internal application at app.fajsolutions.com.

Who this policy is for

Two different groups:

• Visitors and customers who use this website to request a quote or book a service.
• FAJ Solutions staff and subcontractors who sign in to the FAJ Business Manager to record work, submit paperwork, and get paid.

The Business Manager is not a public product. It is used to run our own business and is available only to people we have given an account to.

Information we collect

• Contact details you give us — name, email, phone, service address, and what you need done, when you submit a form on this site.
• Job records — site visits, hours, materials, photos and notes recorded by our technicians in the course of performing work.
• Account information for staff and subcontractors, including tax details required to issue a Form 1099.

We do not sell personal information, and we do not share it for advertising.

QuickBooks Online integration

The FAJ Business Manager connects to QuickBooks Online so that our own accounting records stay accurate. This connection is authorised by an owner of FAJ Solutions and applies only to the FAJ Solutions company file.

What we access: customers, invoices, invoice line items, payments, vendors, expense transactions, and the chart of accounts.

Why: to raise invoices for completed work, to record what has already been billed so the same job is never billed twice, to reconcile payments against work performed, and to record subcontractor payments and 1099 details.

How it is stored: access and refresh tokens are held in our database and used only to make requests to Intuit on our behalf. We do not copy QuickBooks data to any third party, and we do not use it for any purpose other than running FAJ Solutions' own bookkeeping.

Disconnecting: the connection can be revoked at any time from Settings inside the FAJ Business Manager, or from the Apps page of your QuickBooks Online company. When it is revoked we stop making requests and delete the stored tokens.

How we use information

• To respond to enquiries and schedule work.
• To perform the services requested and document that they were completed.
• To invoice customers and pay subcontractors.
• To meet tax, insurance and record-keeping obligations.

Who we share it with

Only where it is necessary to do the work or run the business: the client or general contractor who assigned a job (for example, project coordinators who require check-in, check-out and completion photos), our accountant, and the service providers that host our systems. Each is bound to use the information only for that purpose.

Retention

Job and financial records are kept for as long as required for tax and legal purposes, typically seven years. Enquiries that do not become jobs are kept only as long as they are useful.

Security

Access to the Business Manager requires an individual login. Technicians see only the jobs assigned to them and never see client pricing or margins. Data is encrypted in transit, and access to accounting systems is limited to the owner.

Your choices

You can ask us what information we hold about you, ask for it to be corrected, or ask us to delete it where we are not required to keep it. Write to the address below and we will respond.

Children

Our services are provided to businesses. We do not knowingly collect information from children.

Changes

If this policy changes we will update the date at the top of this page.
